Privacy policy

Sunverge AI Receptionist is a service of Anand Tech Inc., a Canadian company ("we", "us"). This policy explains what personal information we collect, how we use it, where it is stored, and the choices you have. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
Two kinds of people
- Our customers are the businesses that use Sunverge AI Receptionist, and the owners and staff who log in. We are responsible for their account information.
- Callers are people who phone one of those businesses. When our receptionist answers, we handle the caller's information on behalf of that business, which decides how it is used. If you called a business and have a question about your information, please contact that business first. You can also contact us, and we'll help.
What we collect
From our customers
- Your name, work email address and password. We store only a scrambled (hashed) version of your password.
- Your business's details, such as its name, address, hours, services and emergency instructions, and the phone numbers you give us for alerts.
- The names and email addresses of team members you invite.
- Your subscription status. If online payment is switched on, payments are handled by our payment provider, Stripe, and we never see or store your full card number.
From callers
- During the call: the caller's speech is turned into text and processed by artificial intelligence in real time so the receptionist can respond. We don't record call audio, and we don't keep transcripts.
- What we save: the details the caller gives to make a request, which are their name, callback number, the reason for the call, when they'd like to be seen or helped, whether they're new to the business and, for home services and property management, the address where help is needed. Staff may add notes.
- Call records: the caller's phone number, when the call happened and how it ended.
When you use our website
- We use one cookie to keep you logged in. We don't use advertising or analytics cookies, and we don't use tracking pixels.
- We briefly use your IP address to protect accounts, for example to limit repeated login attempts, and our servers keep standard technical logs.
- Messages typed into the "Test receptionist" page are sent to an AI provider to generate replies. Please use made-up details there.
How we use it
- To answer calls, save requests and alert a business's staff about them.
- To run your account, provide support, and keep the service secure.
- To bill for the service, and to meet our legal obligations.
We don't sell personal information, we don't use it for advertising, and we don't use callers' information to train AI models. Text alerts to staff never include caller details. They contain only a link to log in and see the request.
Where it's stored, and who helps us
Our servers and database are hosted by Microsoft Azure in Canada (the Canada Central region). We use these service providers, each only for the purpose listed:
- Microsoft Azure: hosting, database, speech recognition, the AI that understands callers, and the receptionist's voice.
- Twilio: phone calls and staff text alerts. Twilio is a US company and may process calls and messages in the United States.
- NVIDIA: the AI that replies on the "Test receptionist" page. NVIDIA is a US company.
- Our email provider: account emails such as login links and invitations.
- Stripe: payments, if online payment is switched on.
Some of these providers may process information outside Canada, including in the United States. Information processed in another country is subject to that country's laws, and may be accessible to its courts and authorities. We require our providers to protect personal information and to use it only to provide their services to us.
How long we keep it
- We keep account information, caller requests and call records while the business's account is open, so its team can follow up with callers.
- When a business closes its account, we delete its information within 90 days, unless the law requires us to keep something longer. Backups are overwritten on a rolling schedule.
- A business can ask us to delete specific caller requests sooner.
How we protect it
We use encrypted connections (HTTPS), hashed passwords, access limited to people who need it, and separate accounts for each business, so one business can never see another's information. No system is perfectly secure. If a breach creates a real risk of significant harm, we'll notify the affected businesses and people, and report it to the Office of the Privacy Commissioner of Canada as the law requires.
Your choices and rights
- You can ask to see the personal information we hold about you, and ask us to correct it.
- You can withdraw your consent, for example by closing your account, although we may then be unable to provide the service.
- If you're not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada.
